Purchasing Department: Central Receiving and Mail Services

Overview
Central Receiving and Mail Services (CRMS) is responsible for processing: overnight commercial delivery service packages and letters, truck deliveries, returns, USPS inbound and outbound mail and parcels and College interoffice mail.  In addition, the unit oversees the college copy machine program and coordinates the sale of surplus property.

Mail Delivery and Pick-up Schedule
Mail and packages delivered to the College by any carrier (USPS, UPS, FedEx, commercial truck, etc.) are received by CRMS and distributed across campus.

Morning delivery & pick-up of USPS mail to all Units is made weekdays between 9:00 AM and 11:00 AM.  A secondary delivery & pick-up to Vice President’s offices is made between 1:00 PM and 2 PM. 

A final mail pick-up at 2:00 PM each weekday is made at the Purchasing Department in D-116.  Letter mail or USPS overnight Express Mail left at this location will be processed the same day.   

Distribution of commercial carrier packages (UPS, FedEx) is made weekdays between 11:00 AM and 2:00 PM.

Inbound Resident Student Mail
Resident student mail and packages received by CRMS are delivered to the Residence Life main office mailroom in C-210 weekdays by 12:00 Noon.  Residence Life distributes directly to the mailroom in each residence hall.  Resident students with inquires regarding inbound mail should call CRMS at extension 7476.  Walk-up inquires to the CRMS processing center are not permitted.

Interoffice Mail
Interoffice mail pick-up by CRMS is delivered the following working day.  To save processing time and expense, Units are encouraged to hand deliver interoffice mail to neighboring Units whenever possible.

Outbound Mail
Outbound mail picked up each day by CRMS is postmarked at the College’s processing center and made available for the Mahwah Post Office pick up each weekday at 2:30 P.M.

Overnight letters may be sent by using USPS Express Mail.  Completed and sealed envelopes should be left at the Unit's normal mail delivery and pick-up station.  Express Mail prepared following the regular morning mail delivery and pick-up may be brought over to the Purchasing Department in D-116 for the final daily pick-up.   

Overnight letter deliveries may be sent by using the United Parcel Service (UPS) drop box located outside at ground level in the Academic Wing C pass through to the Student Center.  Pick-up is weekdays at 6:15 PM.

Returns
Once the Unit has received return authorization from the supplier, CRMS manages the return of the packages via UPS, USPS, FedEx or by commercial truck.  If you have a return, please contact CRMS at extension 7670.    

Shipping Forms and Supplies
CRMS carries inventory of UPS express and USPS mailing forms and supplies.  This includes forms for USPS certified, registered and priority mail.  Please contact us if you need forms, labels or boxes.  The cost of the supplies and the delivery expense are charged back to the Unit.

Bulk Mailing
CRMS processes bulk mailings for the College based on specific postal permits.  Please contact us at extension 7476 prior to preparing large mailings.  Mail Services will make suggestions on how to save money and will explain proper preparation and use of postal permits.  

Billing and Chargeback
The postage fee for outbound mail is charged back each month to the postage account of the originating Unit.  CRMS does not charge a processing fee for delivery or pick-up.  Only the actual cost of postage is charged back. 

Walk-Up Service and Personal Mail
Walk up service to the processing center is NOT permitted.  Outbound mail must be left at the Unit’s mail pick-up station.  Please contact CRMS at ext. 7476 if you have a special need.   

The College’s mail processing system is for College business and Resident Student use.  Employees are permitted to place sealed, stamped envelopes in the Unit's mail pick-up station, however no bulk mailings, parcel or package handling are permited. 

Postage Stamps
Postage stamps are sold in the College’s bookstore.  Stamps are sold by the Post Office on-line at www.usps.com.

Outbound Mail for Resident Students
Postage stamps are sold in the campus Bookstore.  Students may leave outbound mail, with postage stamps applied, at the Residence Life Mail Room located at C-210.    

USPS One Rate Any State boxes are available upon request to accommodate student outbound package shipping needs.  Please call CRMS at extension 7476 for details.

Truck Deliveries
CRMS accepts shipments from trucking companies and handles delivery to the Unit.  Deliveries that are oversized or require installation are handled by Facilities.  Units must enter a Facilities work order in these situations.

Storage and Inventory
CRMS does not provide storage or inventory services for goods or records.  All deliveries are distributed to the ordering Unit.  Storage of paper records are the responsibility of the Unit.  Off campus storage of records by a document storage company is available.  Please contact the College’s ITS Help desk at extension 4357 for information regarding the cost and procedure. 

Copy Machine Program
The College's copy machines are under multi-year lease/rental agreements with Konica-Minolta, based on the State of New Jersey Cost per Copy contract T-437A / 64044.  The agreement started in February 2008. 

The College is charged a monthly rental fee for each machine.  This includes all supplies, repairs and a certain amount of copies per month, based on the machine model.  An additional per copy charge covers copies made over the monthly allowance.  All invoices are paid by CRMS.  Units are charged back for the monthly rental and any per copy overage charge via a Banner journal entry made by Business Services. 

Units are responsible for contacting each company for repairs, maintenance, toner and staples.  Konica-Minolta can be reached at 800.456.5664.  When calling for service please have your location and machine serial number available. 

All of the Bizhub model copiers from K-M are Energy Star rated, can print both sides (duplex), collate and once connected to the College’s network, can be used for printing, scanning and faxing.

The size copy machine placed in each Unit is based on the specific needs of the Unit and the estimated volume of copies to be made each month.  The following is a listing of the models, features and allowable copies per month.  Please contact CRMS for prices.

Surplus Property
The College’s Facilities Department is responsible for handling surplus furniture.  Please call the Facilities Service Desk at extension 7663 if you have furniture that is no longer needed or if you are interested in using surplus College furniture.
